Information for New Patients
​Preparing for Your Visit
To ensure we provide the best care for your child, please have the following ready before your appointment:

Copies of previous evaluations – including psychological, medical, speech, occupational therapy, and/or physical therapy evaluations. Receiving these prior to your visit allows us time to review your child’s history and better tailor our services.

Insurance card – please send a copy of both sides.

Therapy prescription – for occupational, speech, and/or physical therapy.

Completed patient history and intake forms – these can be requested by contacting our office at 843-332-3600.

Payments & Insurance
We are happy to contact your insurance carrier(s) to verify eligibility and benefits. If you have questions about your coverage, we are here to help. We will bill your insurance for you, whether they are in-network or out-of-network; however, this does not guarantee that services will be covered. Please call us with any questions regarding your benefits.
Payment Information:

All co-pays, co-insurances, and deductibles are collected at the time services are rendered.

If you do not have insurance coverage, payment is expected at the time of service.

We accept cash, as well as credit and debit card payments.
We gladly accept all Medicaid plans.

What to Expect at the First Appointment
Please plan to attend the first appointment with your child. The evaluation typically lasts 1–2 hours, though the exact time may vary depending on your child’s participation, required testing, and your insurance coverage.
During the appointment:

The therapist will review your child’s history and discuss any concerns you may have.

An evaluation will be conducted to assess your child’s current skills and needs.

Based on this assessment, necessary tests may be performed.

The therapist will provide recommendations for future therapy, if needed, based on observations and test results.
After the evaluation, findings and recommendations will be discussed with you, and if therapy is recommended, future appointments can be scheduled.

Future Sessions
Therapy sessions typically last one hour and are play-based, designed to engage your child in activities they enjoy while addressing their therapy goals. The last 10–15 minutes of each session may be used to review your child’s progress, discuss the treatment plan, and provide suggestions for home exercises, if applicable.
Since sessions are scheduled back-to-back, arriving late may prevent your therapist from reviewing progress or home exercises.
For your convenience, parents may leave the clinic during their child’s session as long as:

An emergency contact number is on file with our office

You return 10 minutes before the session ends
Please note that chronic tardiness may require parents to remain on-site during appointments.
Attendance Agreement
Our Attendance Agreement helps ensure appointments are effective, supports clear communication between therapists and families, and allows us to serve as many children as possible.
Appointment Expectations:

Cancellations: Must be made at least 24 hours before your scheduled appointment.

Arrival: Your child must arrive on time. Arrivals 7 minutes after the scheduled start time will be considered as tardy.

Pick-up: Your child must be picked up 7 minutes before the end of their session.

No Show and Tardy Policy:
-
Two (2) No Shows are allowed per year; families must communicate with the office.
-
Two (2) Tardy events count as one No Show.
-
A $50 fee will be charged for any No Show.
Types of Appointments:
-
Consistent: Child has a regularly scheduled appointment.
-
Inconsistent: Child has irregular appointments and is waiting for a consistent schedule.
No Show Rules – Consistent Appointments:
- Two (2) No Shows allowed per year.
- After two (2) No Shows, the child will be moved to the Inconsistent appointment list with a No Show warning.
- Continued Tardy or No Show issues may result in appointments being paused for three (3) months.
No Show Rules – Inconsistent Appointments:
- Two (2) No Shows are allowed.
- After two (2) No Shows, the child remains on the Inconsistent list with a warning.
- Continued Tardy or No Show issues may result in appointments being paused for three (3) months.
